Minutes of the August 14, 2008 Meeting

Board of Trustees of the Beacon Meadows Special Dependent Tax District

13550 S. Village Dr., Tampa, Florida

Trustees Present:            Caroleen Tillery (Vice President), Barbara Appel (Treasurer), Penny Phillips (Recording Secretary), Leslie Fordham (Corresponding Secretary), Chris Eddy (Trustee)

Trustees Absent:             Carol Coon (President), Judy Pack (Trustee)

 

Public Present:              John Haksteen (4711 Cypress Tree Dr.)

The meeting was called to order by Caroleen at 7:11 p.m.

 

Secretary's Report The minutes of the July 2008 meeting were read in advance by Trustees.  Barbara made a motion, seconded by Caroleen, that the minutes be approved.  The motion was approved by a vote of 5-0.

 

Treasurer's Report Barbara reported that she is in the process of assuming the responsibilities of Treasurer from Caroleen.  Barbara is working on reconciling the bank statement for September 30, 2007 with the financial ledger to find the $68.00 discrepancy.  She reported that the July 2008 bank statement reflects cash in bank of $16,638.22.

Old Business

Additional Repair to Jackson Rd. Wall Chris reported that an acquaintance of the paint contractor (D&S) provided him with a verbal estimate of $1,200.00 for additional repairs to the wall. He is awaiting a written estimate.  However, the bee hive in the wall must be dealt with first before the wall can be repaired.  Further discussion about the project was tabled until the September meeting for a report from Carol, who had volunteered to call Lee’s Bees about removal of the bees from the hive.

 

Budget Documents At the July meeting, Carol had reported that the budget documents for next fiscal year had not yet been submitted to Hillsborough County because she was waiting to receive an affidavit from the St. Petersburg Times as verification that the June 2008 public budget hearing had been appropriately advertised. No update on this was available due to Carol’s absence. 

 

Change of Board Officers Barbara asked if minutes from the July meeting had been submitted to Hillsborough County to report the change in officers.  Penny replied that she had not yet done so.  Barbara offered to submit the minutes by e-mail.

 

Light Fixtures at Beacon Meadows EntrancesDiscussion about the project was tabled until the September meeting, since Carol had volunteered to contact a contractor to get an estimate on replacement of the light fixtures.

 

New Business

 

Mowing Along Jackson Rd. Wall Chris remarked that the grass along the wall is getting tall.  Barbara responded that it was her recollection that the grass was mowed only twice a year by Jay’s Property Maintenance.

 

Beacon Meadows Garage SaleLeslie asked if a garage sale would be sponsored by Beacon Meadows again this year.  Discussion ensued about when it should be held and how it should be publicized.  Leslie made a motion, seconded by Barbara, that the garage sale be held on October 4, 2008 from 8:00 a.m. to noon.  Leslie volunteered to check into the cost of advertising the event in The Flyer and, if approved by the Board in September, to submit advertisements to both The Flyer and Carrollwood News.  Penny agreed to post the garage sale signs at the entrances a few days before the event.  Leslie agreed to post signs at the entrances several weeks in advance to inform residents to get ready for the event.  She also volunteered to ask neighbors to announce the garage sale by walking door-to-door.

 

Potential New TrusteeChris introduced John Haksteen and reported that John would like to become a Trustee.  This is excellent news, since Judy had expressed an interest in being replaced because she often works in the evenings and cannot attend Board meetings on a regular basis.  John was asked to attend the September meeting.

 

There being no further business, Barbara made a motion, seconded by Penny, that the meeting be adjourned.  The motion was approved by a vote of 5-0.  Caroleen adjourned the meeting at 7:37 p.m.
