Minutes of the October 11, 2007 Meeting
Board of Trustees of the Beacon Meadows Special Dependent Tax District

Trustees Present: Carol Coon (President), Barbara Appel (Vice President), Caroleen Tillery (Treasurer), Penny Phillips (Recording Secretary), Chris Eddy (Trustee)
Trustees Absent: Cheryl Bonk (Corresponding Secretary)
Public Present: Judy Pack
The meeting was called to order by Carol at 7:21 p.m.
Secretary's Report – The minutes of the September 2007 meeting were read by Trustees in advance. Carol made a motion, seconded by Barbara, to approve the minutes. The motion was approved by a vote of 5-0.
Treasurer's Report –The Statement of Revenues and Expenditures for September 2007 was distributed. Caroleen reported that a column for October 2006 was added to the spreadsheet for comparison purposes. She also reported that the figures at the bottom of the spreadsheet are now correctly calculating.
Cash in Bank: $8,569.35 Available to Spend: $5,169.00
New Business
Resignation of Trustee – Al Adler resigned from the Board effective September 14, 2007. Penny made a motion, seconded by Carol, that Al’s resignation be accepted. The motion was approved by a vote of 5-0.
Appointment of New Trustee – Judy Pack, a Beacon Meadows resident, agreed to be a Trustee. Carol made a motion, seconded by Penny, that Judy be appointed to vacant Seat #1. The motion was approved by a vote of 5-0. Carol will submit the required documentation to the County.
Election of Officers – All current officers present agreed to serve again. Judy agreed to serve as Corresponding Secretary. Penny made a motion, seconded by Chris, for the following slate of officers:

Caroleen Tillery – Treasurer
Penny Phillips – Recording Secretary
Judy Pack – Corresponding Secretary
The motion was approved by a vote of 6-0.
Note: Judy had to leave the meeting at this point due to other commitments.
Appointment of Registered Agent – Since no other Trustees volunteered to accept this post, Carol agreed to serve again. Penny made a motion, seconded by Barbara, that Carol be appointed as registered agent. The motion was approved by a vote of 5-0.
Future Board Meetings – Trustees discussed meeting at the new Cultural Center. However, it was agreed that the meeting place should remain the same for the time being, as well as the day and time. Carol made a motion, seconded by Caroleen, that meetings during the new fiscal year be held on the second Thursday of each month at 7:00 p.m. at 13550 S. Village Dr., Tampa, Florida. The motion was approved by a vote of 5-0. Carol will submit the newspaper advertisement.
Old Business
Repair and Painting of Walls – Chris reported that he is still waiting for return phone calls from individuals who he contacted for estimates on repair and painting of the Casey Rd. and Jackson Rd. walls. He shared a catalog from Banner Supply (recommended by Sherwin Williams) that showed the different types of caps that are available for the tops of walls. Banner Supply agreed to provide an estimate for installation of caps and painting. Discussion ensued regarding having the weeds growing in and on the Jackson Rd. wall sprayed with herbicide. Barbara made a motion, seconded by Penny, that up to $250.00 be allocated for killing the weeds in and on the Jackson Rd. wall by Jay’s Property Maintenance (the Tax District’s lawn maintenance service). The motion was approved by a vote of 5-0.
Ideas for New Trustees – Carol asked Trustees if they had found any residents who were interested in serving on the Board. Barbara reported that a homeowner who does not live in Beacon Meadows had inquired about becoming a Trustee. Carol indicated that he could become a Board member if his address is still one within Beacon Meadows. Barbara agreed to share this information with him.
Correspondence to “Good Neighbors” – Barbara reported that she is still gathering addresses of properties in Beacon Meadows that are well maintained. She will mail letters complimenting homeowners on their efforts and inviting them to become members of the Board.
Beacon Meadows Website Signs – Trustees continued to discuss ways that the website signs could be attached to the monuments or posted in other locations at the entrances. Carol explained that pieces of cedar could be attached to the “wings” of the monuments. A recommendation by Barbara was that “www” and “org” be attached on both sides of “Beacon Meadows.” Barbara volunteered to get an estimate for doing this.
Community Garage Sale – Carol advertised in Carrollwood News the annual Beacon Meadows garage sale, which will be held on October 13, 2007 from 8:00 a.m. to noon. Barbara posted an advertisement on the Beacon Meadows website. Penny brought the garage sale signs with her to the meeting and explained that they will be affixed to the Board meeting signs immediately after adjournment of the meeting.
There being no further business, Penny made a motion, seconded by Carol, that the meeting be adjourned. The motion was approved by a vote of 5-0. The meeting was adjourned by Carol at 8:20 p.m.
